AI

AI that reads the board and asks before it acts

Taskeni's AI helpers summarize, suggest, and search. Every change they propose waits for you to review it. They use Google Gemini, they're metered in credits, and they're off until a workspace owner or admin turns them on.

Off by default

While AI is off, no workspace data is sent to the model provider.

You review first

Suggestions and assistant changes wait for your click. One Undo reverts a batch.

Never deletes

The assistant can't delete anything or change permissions or settings.

Metered openly

Credits follow what each request actually costs. You can see the count.

Helpers where you already work

Each helper sits next to the thing it helps with and shows its result for review.

  • **Catch me up** on a task: a short summary of what changed since you last looked, with every point linked to the comment or event it came from.
  • **Catch me up** on Home: a briefing of what moved on your boards while you were away, most important first, with links to the tasks.
  • **Suggest steps:** three to eight concrete steps for a task. Tick the ones you want and add them as checklist items or subtasks.
  • **Notes into tasks:** paste meeting notes or an email into quick add and get a list of action items with suggested owners, dates, and labels. Edit or untick any of them before anything is created.
  • **Weekly recap:** on Home's This week review, add a one-paragraph summary written from the week's numbers.

Ask Taskeni, the assistant

Press ⌘J (or the sparkle button) and ask in plain language. The assistant answers questions about work you can see (“what's overdue for Priya this week?”) and proposes changes: move, reschedule, assign, label, set priority, complete, create tasks, or add a comment.

Nothing changes until you review the list and click Apply, and one Undo reverts the whole batch. It never deletes anything, never changes permissions or settings, and only sees what you can see. The assistant is on every plan and uses AI credits.

Smart search finds what you meant

With AI helpers on, search finds tasks and comments by meaning as well as by words: “reset link lands on sign-in” finds the task called “Password redirect bug”. It works in ⌘K and on the search page, on every plan, and uses Google Gemini embeddings. While AI is off, search stays keyword-only and nothing is sent to the model provider.

AI credits: what they are and how they're counted

AI use is measured in credits that follow what each request actually costs the model provider. A quick helper, like turning notes into tasks or a short catch-up, uses a fraction of a credit. A long recap or an assistant request with lots of context uses several. Owners and admins see how many credits the workspace has used this month in Settings → Workspace.

  • **Free:** 100 credits per workspace per month, as a trial.
  • **Pro:** 300 credits per member per month, pooled across the workspace.
  • **Business:** 1,000 credits per member per month, pooled.
  • Allowances renew on the 1st. Top-ups of 1,000 credits for $4 will come with paid plans; they're used after the monthly allowance and never expire.

What gets sent, and what doesn't

A request sends only the text it needs: for a task catch-up, the task's title, description, and recent comments and activity; for notes into tasks, the notes you pasted plus the board's member names and labels. Content from your workspace is passed to the model as data to analyze, with instructions not to follow anything written inside it. Results that point at tasks or comments are checked against real ones before you see them. Read more in how we price AI.

Common questions

Is AI on by default?

No. AI helpers are off until a workspace owner or admin turns them on in Settings → Workspace. While they're off, no workspace data is sent to Google.

Which AI model does Taskeni use?

Google Gemini: a fast Flash-Lite model for short helpers, a Gemini Flash model for longer ones, and Gemini embeddings for smart search.

Is AI unlimited on any plan?

No. Every request has a real cost, so every plan has a monthly credit allowance. When it runs out, AI helpers pause until the 1st or until an owner adds a top-up (top-ups arrive with paid plans). The rest of Taskeni keeps working as usual.

Can the assistant delete tasks or change who has access?

No. It can propose moves, date changes, assignments, labels, priorities, completions, new tasks, and comments. It can't delete anything or change permissions or settings, and nothing happens until you click Apply.

Can I use my own AI assistant instead?

Yes. Connect Claude, ChatGPT, Cursor, or Claude Code through the Taskeni MCP server. That uses your assistant's own subscription, not Taskeni's AI credits. You can also use Copy for AI on any task to paste its details into a chat.

Who can see the credit count?

Owners and admins see the numbers. Everyone sees a notice if the workspace has used its credits for the month.
