Client work, without the status emails
Keep every client on their own board, take requests through a form, track time against what you quoted, and send clients a read-only link instead of a weekly update.
A board per client
Private boards keep internal notes and pricing out of view.
Guests and share links
Clients comment as guests or just look through a link (Pro).
Time against estimates
Timers, manual logs, and a CSV export ready for invoicing.
Request forms
Clients file requests with a brief and a date, no account needed.
The challenge
Every client had a different channel: one emailed, one used a shared spreadsheet, one sent voice notes. Status updates took Friday afternoon, nobody knew whether a retainer was running over until the invoice, and freelancers needed access to one project without seeing the rest.
One workspace, a board per client
Create a board for each client or project. Use custom fields for the things you quote and report on (budget, retainer month, deliverable type, approval link) and see them across tasks in Table view. Keep internal planning on private boards that only your team can open.
Let clients ask, and see, without a login
Two features cover most client communication.
- **Request forms:** each board can have a public form. Clients describe the request, attach a file, and pick a date; it becomes a task with their email attached, and they get a receipt and a note when it's done.
- **Share links (Pro and Business):** a read-only view of a board with titles, due dates, labels, and checklist progress. Set it to expire after 7, 30, or 90 days, see how often it's been viewed, and revoke it at any time. Comments, files, and time logs are never shown.
Know where the hours went
Add an estimate to each task and track time with the timer or by typing 1h 30m. Tasks show tracked against estimated, Table view shows both, and Export CSV gives you estimate and tracked hours per task for invoicing or a retainer report.
Freelancers on the projects they're on
Invite freelancers and client contacts as guests. They work on the boards you add them to and can't see anything else. On Free, each board can have 3 guests; Pro and Business have no limit.
How the workflow runs
- 1
Set up the client board
Lists for Requested, In progress, Client review, and Delivered, with Delivered as the completion list and fields for budget and deliverable.
- 2
Take requests through the form
Send the client the board's request form link. Each request lands in Requested with their email and any fields you asked for.
- 3
Estimate, then track
Add an estimate when you accept the work; the team runs the timer as they go.
- 4
Review with the client
Move work to Client review and send a read-only share link, or have the client comment as a guest.
- 5
Close the month
Export CSV for tracked hours per task, and check reports for throughput and overdue work (Pro).
Common questions
Can clients see each other's work?
No. Guests only see the boards they're added to, and a share link shows one board. Make internal boards private so only the people on them can open them.
Do clients need a Taskeni account?
Not to view a share link or submit a request form. To comment or work on tasks, invite them as guests; they create a free account when they accept.
Can I bill from Taskeni?
Taskeni doesn't create invoices, but Export CSV includes estimated and tracked time for every task, ready for your invoicing tool or a spreadsheet.
Can I white-label the share page?
Not at the moment. Share links show your board under Taskeni's address.
What does it cost for an agency?
Free covers up to 10 members, with 3 guests per board. Pro removes those limits and adds share links, automations, and reports for $6 per member a month billed yearly ($7.50 monthly). Guests are free, and Pro starts with a 14-day free trial. See pricing.
