The short version

Where each one fits.

Choose Taskeni when

  • You want a task manager that works on day one, without designing databases and templates
  • You track time against estimates (Notion has no built-in timer)
  • You want workload, My tasks, reminders, and a weekly review built for tasks
  • You want automations, reports, and client share links on one plan at $6 per member (Pro, billed yearly)
  • You want AI helpers on every plan, metered in credits, rather than tied to a Business plan

Notion may suit you when

  • Your team writes a lot: specs, wikis, and meeting notes belong next to the work
  • You want to design your own databases, properties, and views for many kinds of data
  • You want Notion Agent, AI meeting notes, and Custom Agents (Business and up, or Notion credits)
  • You publish pages or sites to the web
  • You need desktop and mobile apps with offline access today

What stays the same

Boards, tables, calendars, and timelines over the same tasks; subtasks and dependencies; custom properties; repeating work; comments and @mentions; guests; and an MCP server for AI assistants.

How to move from Notion to Taskeni

  1. 01

    Decide what moves

Keep docs and wikis in Notion. Move the task databases: the ones with a status, an owner, and a due date.

  2. 02

Create a board per task database

Sign up, add a board for each task database, and turn its status options into lists and its tags into labels. Add custom fields for the properties you still use. Taskeni doesn't connect to Notion directly, so this part is by hand.

  3. 03

    Bring tasks over with CSV

Export the database from Notion as Markdown & CSV and use the CSV file with Import CSV on the matching Taskeni board. Taskeni matches columns by name: Title (or Name or Task), List (or Status), Assignee or Assignee email, Start date, Due date, Labels (or Tags), Priority, and Description (or Notes). You see what will be skipped before you confirm.

  4. 04

Invite the team and link back

Invite teammates by email and add guests to the boards they need. Paste Notion links into task descriptions where a spec lives in Notion.

Common questions

Is Taskeni a good Notion alternative?

For task management, yes: you get boards, five views, time tracking, workload, reminders, and notifications without building them from databases. Taskeni doesn't replace Notion as a place for docs and wikis, and many teams keep both.

Can I import from Notion?

Not directly. Export a task database from Notion as Markdown & CSV, then use Import CSV on a Taskeni board. Titles, status, assignees, dates, tags, priority, and descriptions come across when the column names match. Page content inside each task stays in Notion.

How much does Notion cost compared to Taskeni?

Notion Plus is $10 and Business is $20 per member/month billed yearly, and Notion's AI agent is included from Business. Taskeni is free for up to 10 members with every view; Pro is $6 per member/month billed yearly and Business is $12, and AI on every plan uses metered credits. See pricing.

Can I use Taskeni and Notion together?

Yes. Link Notion pages in task descriptions, and connect both to your AI assistant through their MCP servers so it can read a spec in Notion and create tasks in Taskeni.
