What data AI helpers send

This page explains what leaves Taskeni when someone uses an AI helper, so you can decide whether to turn them on.

The basics

  • AI helpers are off until an owner or admin turns them on for the workspace.
  • While they're off, no workspace data is sent to the AI provider.
  • When they're on, a helper sends data only when someone uses it, and only what that request needs.
  • The provider is Google Gemini.
  • A helper only reads what the person using it can see. Private boards they aren't on are never included.

What each helper sends

  • Catch me up (task): the task's key, title, and description, and its recent comments and activity, with the names of the people involved.
  • Catch me up (Home): recent changes on the boards you can see since your last visit, with task keys, titles, board names, and people's names.
  • Suggest steps: the task's title, description, board name, and any checklist steps it already has.
  • Find action items with AI: the notes you pasted, the names of people who can see the board, the board's labels, and today's date.
  • Summarise (weekly review): the review's counts and the titles of the tasks in it.
  • Smart search: task titles and descriptions and comment text, turned into embeddings so search can compare meaning, and the words you search for.
  • Ask Taskeni: your question and the work it needs to answer it, limited to what you can see: open and recently completed tasks (key, title, board, list, assignees, due date, labels, priority), the names of your boards, lists, and labels, and people's names. Descriptions, comments, and files aren't sent.

Good to know

  • Results are suggestions. Nothing is changed until a person confirms it.
  • Turning AI helpers off stops all of this right away.
